Overview
A financial services company receives thousands of documents and checks everyday. They needed a way to electronically organize them and make them available online for billing and review purposes. The custom scanning solution developed by GL2 handles the task from start to finish with custom barcode software, a high-speed scanning application and web-based viewing of multi-page Tiff files.
Background
Imagine filing cabinets filled with files for each customer. In those files are invoices to bill by and check copies of paid invoices. Imagine a customer or vendor needing a copy of an invoice or check. Imagine those documents being mis-filed, or even worse... lost. Imagine how long it would take to locate documents and send them to the requesting party. Even with fax machines it was a logistical nightmare for our client.
GL2 developed a custom scanning solution that eliminated paper, made documents easily searchable and instantly available online. Headaches solved!

The GL2 Custom Scanning Solution consists of:
- A shared Microsoft Word Wizard to generate custom barcode labels
- Scanning software
- ASP.Net web application for document search
GL2 designed custom barcodes that are unique to the customer. One of the problems with off-the-shelf solutions was that many documents already had barcodes on them which were not unique to the client. This would cause manual intervention by staff to choose correct barcodes.
Invoices are printed with the unique barcode indicating customer and invoice number. Using this information, the GL2 Custom Scanning Software reads each invoice and supporting documents and files them by customer. Once scanned, the documents are saved as multi-page Tiff files and stored on a web server making them instantly available to both the customer and client's personnel.
An ASP.Net web application was also created to facilitate easy document search and retrieval.
Development Cycle
Development from start to initial release was eight weeks. Minor bug fixes and enhancements continued for nine minor revisions and one major release. The solution has been in production since July 2004.
